AI-powered procurement software covers a wide range: large source-to-pay suites that run a company's whole purchasing process, spend-analytics tools that read your invoices, and narrower tools that do one job — like getting quotes from suppliers. They are priced in very different ways, and comparing their headline prices directly is like comparing a ream price with a tonne price.
The four common pricing models
- Per user (seat): a monthly or annual fee for each person with a login. Simple, but it gets expensive when occasional users — site engineers, office managers — need access too.
- Per spend under management: a fee tied to how much money flows through the system. Common in large suites, and it grows as your purchasing grows whether or not the software does more.
- Per module: a base platform plus paid add-ons — sourcing, contracts, supplier management, analytics. The first quote often covers fewer modules than the demo showed.
- Per use: you pay for the work done — documents processed, requests run, or minutes of calling. It tracks value closely, and it is easiest to start small with.
The costs that are not on the pricing page
- Implementation: configuration, integration with your accounting or ERP system, and consultant days. For enterprise suites this can rival the first year's licence.
- Supplier onboarding: many platforms only work once suppliers register on a portal. In the UAE, where a lot of trade still runs on the phone and WhatsApp, many suppliers never will.
- Training and adoption: a tool your buyers avoid is the most expensive kind.
- Contract terms: annual commitments, minimum seat counts and price rises at renewal.
Ask what the software costs in the month your team first uses it, not just per year after rollout.
Questions to ask any vendor
- What exactly is counted — users, spend, documents, requests or minutes — and what happens when we go over?
- Is there a setup or implementation fee, and how long before the first real purchase goes through it?
- Do our suppliers have to sign up to anything?
- Is it monthly or annual, and can we cancel or change plan?
- Which currency is it billed in, and is VAT added?
How PurchoSmart is priced
PurchoSmart does one job: it finds suppliers for a requirement and an AI voice agent calls them for quotes, then ranks the answers. It is priced per use, in talk minutes, because connected call time is what the work actually costs — a call that rings out uses no minutes.
- Basic: 100 talk minutes a month, up to 10 suppliers per search — AED 250 a month.
- Standard: 200 talk minutes a month, up to 20 suppliers per search, plus international sourcing and purchase-history price benchmarks — AED 495 a month.
- Pro: 400 talk minutes a month, up to 30 suppliers per search, with everything in Standard — AED 990 a month.
Plans are monthly, there is no implementation fee, and suppliers do not sign up to anything — the agent simply phones them. Extra minutes can be bought as a top-up when a busy month needs them. Current plans and billing questions are on the pricing page.
Which kind do you need?
If you are a large organisation replacing purchase orders, approvals and contracts across many departments, a suite is the right category and its implementation cost is part of the deal. If your problem is narrower — buyers spending hours ringing suppliers for prices — a per-use tool that solves that problem starts paying back on the first request. The real cost of calling suppliers for quotes puts numbers on that time, or you can see the agent call a real supplier.
